About you: To support our growth, we’re looking for an Administrative Business Partner based in Sunnyvale, CA. Supporting the COO and Global VP on all administrative requirements, you will facilitate the coordination of cross-functional collaboration and key Global team meetings. You will be building relationships and seeking opportunities to connect internally as well as externally by being proactive and a strong-communicator. Additionally, you will be coordinating meetings, taking minutes and arranging foreign and domestic travel.

Some of the great things you’ll do:

  • Capturing key information: You will develop a system that enables communicating major milestones and deadlines and reporting updates on identified Global projects. 

  • Synchronizing: You will be coordinating key team meetings, structuring agendas according to upcoming deadlines and aligning participants and logistics. 

  • Orchestrating meetings: You will be responsible for planning and setting up meetings including coordinating agendas, preparation of support materials and documenting core agreed deliverables and follow-ups. 

  • Communicating: While working independently on various tasks, you will be regularly updating the other employees and organizations on our work efforts.

  • Support: You will work effectively as a team contributor on various assignments. Managing multiple calendars, you will optimize leadership time, identify gaps and opportunities to improve output of key meetings.

  • Organizing: You will perform general administrative duties such as managing calendar-meetings, arranging travel, creating and updating org charts and more. 

  • Assist: You will offer support in administrative tasks such as expenses or sending out group emails to the COO or VP.

Note: Job duties are subject to change as needed. 

What we look for in the perfect candidate:

  • Minimum of 2 years in executive support function

  • Excellent verbal and written communication skills including presenting and listening 

  • Prioritizing workload and responding quickly to time-sensitive requests

  • Outstanding planning and coordinating skills allowing to work with diverse clients while respecting multiple priorities

  • Developing relationships with diverse group of stakeholders and colleagues at all organizational levels

  • Ability to plan conferences as well as to develop and meet facilitation and taking notes 

  • Experienced in using Google products including: hangouts, Gmail, calendar, docs, spreadsheets, and sites

  • Being flexible, proactive, responsible and detail-oriented

  • Following oral and written directions and adapting to changing situations

  • Interacting with diverse and high volume customer base in a friendly and efficient manner

  • Ability to deal with problems involving several concrete variables in standardized situations
